Job Brief

We are looking for a reliable People Operations amp; Bus. Admin. Team Lead will support the People Operation (PO) amp; Admin teams in KSA and act as the company representative in Jordan by providing amp; managing all PO and Bus. Administrative tasks. The ideal candidate must be competent in prioritizing and working with little supervision, and must self-motivated and trustworthy.


Main Task and Responsibilities

People Operations:
  • Lead the implementation and management of the systems, processes, and policies of the Foodics employees
  • Be accountable for, and manage the end-to-end People Operations in the Jordan office (including HR systems management, issuance, renewals amp; cancelation of employees' employment amp; residence visas)
  • Own the delivery and effectiveness of several core HR processes and responsibilities across employee life-cycle activities such as benefits, compliance/policy management, and visa processing
  • Handle all government related / government compliance transactions, policies amp; procedures in Jordan
  • Collaborate with different teams across the organization to ensure compliance in the Jordan office operating programs
  • Assist payroll management by providing relevant employee information (e.g. leaves of absence, sick days, and work schedules)
  • Keep the People Operations unit aligned with all vacations amp; governmental holidays in Jordan
  • Works closely with People Operations (PO) team in Saudi for updating and maintaining Employees' systems, records, and reports to provide accurate employee data as needed
  • Liaise with external partners, like medical insurance vendors, supplier vendors, and ensure legal compliance
  • Ensure that People Operations (PO) policies and procedures are up-to-date, in line with local law, and fosters Foodics culture


Business Admin. :

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Act as the company's direct point of contact in coordinating the onboarding of all new joiners by ensuring that they receive needful issuance as per business requirements (laptop, mobile phone amp; sim cards, business cards, etc.)
  • Arrange employee offboarding process by coordinating exit interviews with the OD team; Liaise with the People Ops. (PO) team on the equipment return, and removing employees from all relevant internal systems.
  • Coordinate office activities and operations to secure efficiency and compliance with company policies
  • Track and monitor stocks of office issuances and supplies, and place orders when necessary in coordination with the Business Management unit; and that all equipment is working and properly maintained.
  • Ensure that all company licenses are up to date and renewed such as Trade Licenses, Establishment Card, Office lease, Contract Agreements, etc.
  • Work with Finance team on managing office expenses, petty cash, and reimbursements
  • Handle payments of office utilities such as DEWA, Empower, phone bills, etc.
  • Responsible for overall Jordan office management/maintenance
  • Prepare Contract templates such as Employment contracts, NDA's, NOC, Issuance of letter requests, etc.
